The weekend at a glance

ConCon runs September 18-20 at Lighthaven, 2740 Telegraph Avenue, Berkeley, for about 250 people. Registration opens Friday 3pm; welcome is listed at 5pm and starts 5:05pm. Volunteers join orientation 1-2pm; Eneasz, Paul and Noah do early setup 12-1pm and rejoin setup 2-4pm.

Use Schedule, My shifts and Role guides. All sessions start five minutes after the listed start and end at the listed end. Waypoint is the session reference; changes there do not automatically update this handbook. Open decisions are tracked in Asana.

Before your first shift

  • Join Signal, join Waypoint, and check that Rosie has given you the volunteer role. Fill out your Waypoint profile. Keep your phone charged and watch for updates.
  • Sign the volunteer agreement Isabel sends through DocuSign. Add Friday's 1pm orientation and your shifts to your calendar. Room managers arrive 10 minutes before their session; the shift view shows this arrival time.
  • Read your role guide, Contacts & help, the Attendee Guide, and the Speaker Guide.
  • Wear your volunteer lanyard on duty. Message Signal at the start and end of each shift. Post in the Signal chat about lateness, breaks, or shift swaps, and confirm cover there before leaving a staffed role.

For all volunteers

If a staffed role needs cover, agree the handoff explicitly. Do not leave a desk, speaker, or incident unattended on the assumption that another volunteer has taken over. Keep receipts for purchases; reimbursement or an immediate advance is available.

Things everyone needs to know

Check-in: Friday 3-8pm, two first-name stations A-L/M-Z. Saturday 8-11am. No staffed desk on Sunday; Annika is on call for arrivals; outside desk hours Annika uses the check-in supplies at the registration desk outside. Returning badge holders can re-enter throughout Friday.

Meals: seven buffets in the front gardens, seating in Rat Park. Friday dinner 7-8pm; no Friday happy hour. Lighthaven flips Rat Park to dinner seating 6:30-7pm. Annika handles Adele and Jeff's meals. ZeroCater sets up, Lighthaven clears, on-call volunteers help.

Coffee: Gratified booked mornings only, alongside Lighthaven coffee. Coffee consumables provided by Lighthaven; arrangements resolved.

Office hours: optional 30-minute follow-on slots; Cantor → Exobrain, Eigen → 2E3 (proposed; confirm before directing attendees). Check individual slots in Waypoint.

Posters: separate sets, Saturday/Sunday 5:30-6:30pm Bayes Ground. Katherine Saturday, Larissa Sunday. Presenters mount and take home their own posters.

Photos and lanyards: orange means no photos. Wear all relevant colors. Group photo: announce after plenary and gather on bleachers, allowing opt-outs time to move.

Evenings: Friday afternoon bar setup for evening drinks; Saturday/Sunday happy hours. Self-serve 21+ with check-in IDs and green under-21 lanyards confirmed. S'mores 9pm, quiet hours 10pm, security off 11pm. Lighthaven gate code: 9943. Valid Friday September 18, 8am through Monday September 21, 2am (Pacific).

Supplies: bar backup drinks, ice and s'mores kit in basement + storage room. Staff/volunteer bags and supplies go in the shed in front of Building A. Building F is Lightcone team workspace, not a volunteer break room. Attendee bags remain in the shed behind check-in.

Role guides

Read the guide for your role. You do not need to read the procurement notes.

Greeter

Warmly welcome people to ConCon, help them feel at home, and offer help with any arrival questions.

Work near registration, Friday 3-5pm. Ask anyone without a badge to have their Luma ticket and ID ready: when registration is staffed, security checks their ticket and sends them to the desk, where IDs are checked. Returning attendees show their badge. Direct them to the right first-name station.

Point overnight guests to the Aumann front desk for room check-in and attendees with bags to the shed behind registration.

Check-in

Jen leads the desk. Bring a charged laptop and battery pack: there is no power at the tables. Use the shared check-in sheet, with the printed first-name list as backup.

Standard check-in

  1. Find the registration first. Search by first name and read Special Notes. If someone is not on the sheet, message the Signal chat. Someone from Eleos can confirm whether they should be let in. Wait for confirmation before issuing a badge or directing them to collect swag. Ask to see their Luma confirmation while you wait.
  2. Complete the checks. Check ID; ask whether they have read and agree to the Code of Conduct; ask about photo preference. For press, explain the media policy, hand over the policy sheet, and get verbal confirmation.
  3. Issue the badge. Find the printed badge by first name. For a missing, forgotten, or unprinted badge, write the name on a name sticker and attach it to a blank badge. Give a bingo card.
  4. Give the correct lanyards and explain them.
    • Navy: attendee.
    • Yellow: staff or volunteer.
    • White: press — give the media-policy sheet and get verbal confirmation.
    • Green: under 21, based on the ID check — no alcohol.
    • Orange: does not want to be photographed — ask every attendee about their preference.

Give all applicable colors and ask them to wear them together. For example, a volunteer who does not want photos wears yellow + orange; an under-21 press attendee wears white + green. Do not replace an age or photo lanyard with a role lanyard.

  5. Mark them checked in. Do not mark a person checked in while approval is still pending.
  6. Give a short orientation. Point out the hoodie table, Waypoint schedule, map, and 1:1s, and yellow-lanyard volunteers. On Friday, mention the 5pm opening in Rat Park. Give lodging and bag-storage directions only when relevant. Tell them the gate code is 9943, valid Friday September 18 at 8am through Monday September 21 at 2am Pacific.

Age check

Check everyone’s ID. If they are under 21, give them a green lanyard and explain that they cannot drink alcohol. Someone turning 21 on the day of check-in counts as 21. If they have no ID or you are unsure, ask Annika.

Exceptions

Anyone without a badge, including someone who has forgotten it, shows their Luma ticket to security and proceeds to registration when the desk is staffed. Verify their registration before issuing a badge. When the desk is not staffed, or the person has neither a badge nor a Luma ticket, security contacts Annika or another yellow-lanyard person, who notifies Signal and waits for Eleos confirmation before admission.

Unlisted attendee: Message the Signal chat and wait for someone from Eleos to confirm whether they should be let in. No ID, disputed eligibility, declined Code of Conduct, or another unresolved eligibility issue: pause and contact Annika. Wait for confirmation before completing check-in.

Desk kit and handover

Two stations, A-L and M-Z: slotted badge stands, blank badges, name stickers, Sharpies, lanyards, bingo cards, policy sheets, WiFi sign, charged laptop, battery pack, and paper list. WiFi: LightFi / wearethelight.

Staffed check-in: Friday 3-8pm; Saturday 8-11am. No staffed desk on Sunday; Annika is on call for arrivals. Jack works with Jen Friday 3-6pm; Tim joins Annika Friday 6-8pm. Paola supports Annika Saturday 8-11am, including late arrivals. After Friday registration closes at 8pm, leave the check-in supplies at the registration desk outside. Annika handles check-in outside desk hours.

Attendees may nominate a guest for Sunday evening. If the organizers approve the nomination, the organizers give the host a spare badge. Security does not issue guest badges. The attendee is responsible for meeting their guest at the gate and giving them that badge. Once the guest has the badge, security can admit them. No staffed guest desk; Annika is on call for questions.

Lanyards and photography

Color Meaning
Navy Attendee
Yellow Staff / volunteer
Green Under 21
Orange Do not photograph
White Press

Wear all relevant colors. A volunteer who does not want photos wears yellow and orange; likewise retain any applicable age or press color.

Announce the group photo after the plenary, then gather everyone on the bleachers, giving people who do not want photos time to move aside.

  • Make sure there is water for the speakers — there should be a bunch in the room already, but if not you can grab it from Aumann kitchen or Bayes kitchen fridges
  • Make sure things look as expected: there is a lectern for the speaker · if it's a fireside chat, there are enough chairs on stage · there is a screen / AV stuff · check the microphone is working · the room is tidy and has enough chairs (ask an on-call volunteer for help if needed)
  • If the speaker is not there on time, notify an on-call volunteer to go find them
  • Help the speakers get their slides set up (they will be told to bring their own laptop to use)
  • Ask the speaker: how many minutes they plan to talk for (if there will be a Q&A, preferably leave at least 10 minutes)
  • Ask whether they would like any signs from you ("5 minutes left", "1 minute left", "time")
  • Ask if they will manage the Q&A themselves or would like your help
  • Ask whether they want their talk off the record. If yes, agree whether you or the speaker will announce it, and ensure the audience is told before the talk begins.
  • Confirmed: Anna Soligo’s Saturday talk is off the record. Tim must ensure this is announced before her talk begins.
  • Ask whether the speaker is holding office hours for the next 30 minutes. Cantor talks use Exobrain. For Eigen talks, confirm the room with Rosie before announcing it; 2E3 is proposed but not yet confirmed.

During the talk

  • Five minutes after the listed start, promptly tell the speaker to start. Help quiet and settle the room if needed.
  • Track the speaking time agreed beforehand, leaving the planned time for Q&A.
  • Use the agreed timekeeping signs: 5 MINUTES, 1 MINUTE — PLEASE WRAP UP, and TIME. Bang the gong if the speaker runs out of their allotted speaking time, and move on to Q&A.

Q&A — after the talk

  • Once the speaker finishes talking, begin Q&A if planned. The speaker leads it unless they have asked for your help.
  • If you are choosing questions, notice who has had their hand up for a long time and choose a mix of people, including those who are quieter or tend to ask fewer questions.
  • When there are 2 minutes left in the session, announce that this will be the last question.

Close the session

  • End promptly at the listed finish time, whether the session ends with the talk or with Q&A. Politely cut off the speaker or audience if needed.
  • Thank the speaker and start the closing applause.
  • Announce any confirmed office hours: “You can carry on the conversation with the speaker for the next 30 minutes in [confirmed room].” Use Exobrain for Cantor talks. For Eigen talks, check with Rosie before naming a room; do not announce 2E3 until confirmed.
  • Be strict about timing. Speakers and attendees have been told timing is strict, so do not be shy about asking them to wrap up.

Good to know

  • Timekeeping signs (5 min / 1 min / time) and the gong are stocked in Cantor and Eigen
  • Laptop connectors are provided by Lighthaven; spare charged chromebooks exist if a speaker has no laptop
  • Sessions are not recorded. Separately, ask each speaker before their talk whether they want it off the record. If yes, agree who will announce this and make sure it is clearly announced to the audience before the talk begins.
  • Most 30-minute slots allow about 15 minutes of talk and 10 minutes of Q&A; a listed :00 start becomes :05, and :30 becomes :35
  • Rat Park sessions (Fri welcome + fireside, Sat 101 + plenary, Sun closing): Lighthaven runs the PA — borrow Cantor's gong and signs; firesides are two chairs on stage, no slides — just mic checks

Confirmed timing: the five-minute delayed start applies to every session format, including plenaries, workshops, welcome, closing and lightning talks. Finish at the listed end. Arrive 10 minutes before the advertised slot. Rat Park has a screen. Rosie gives Tim and Paola catch-up training after check-in practice, before their first RM duty.

Lightning-talk emcee

Sophie, Saturday/Sunday, Cantor: listed 1-2pm; start 1:05pm, finish 2pm. Eight talks Saturday, seven Sunday; maximum five minutes each.

Get order from Waypoint and confirm speakers present before 1pm. Explain the hard stop; next speaker ready at front, laptop open. Show one-minute sign at four minutes, gong at five without extensions. Keep transitions short. Hand over to the 2pm room manager afterward.

Speed-networking facilitator

Friday, listed 8-9pm; starts 8:05pm and finishes 9pm. Drethelin Gardens. Rosie and Beba.

Beforehand, test the Lighthaven JBL speaker and confirm whether a microphone is available; also check the borrowed gong, fairy lights and lamps. Keep the standing area away from the planted back half. Return borrowed equipment afterwards.

Ask everyone to find a partner. Allow about three minutes per pair, with a 30-second warning. At each gong, tell everyone to find a new partner. Repeat for 8-10 rounds, then release people into general conversation.

Suggested prompt: "What are you hoping to get out of the weekend?"

Breakfast and morning check-in

Annika: breakfast support Saturday/Sunday 8-9:30am. Paola: Saturday registration 8-11am. Breakfast 8:30am; direct attendees and check in stragglers using the supplies at the registration desk outside. Lighthaven brews and refills coffee; ping when low. Gratified is booked for mornings only. Coffee supplies provided by Lighthaven; arrangements resolved.

Annika admits catering around 7:30am and the early barista. Paola covers Saturday registration and late arrivals 8-11am, freeing Annika for breakfast and operations. No staffed desk on Sunday; Annika is on call for arrivals. Saturday breakfast needs no tables: Rat Park is in theater seating for the morning sessions. Meal tables remain in place for Sunday breakfast.

Happy hour and bar

Annika leads. Friday afternoon setup for evening drinks; no scheduled Friday happy hour. Saturday/Sunday setup about 5pm, happy hour 5:30-6:30pm.

Confirmed: self-serve 21+ bar, check-in ID checks and green under-21 lanyards are sufficient. People wear all applicable lanyards.

  1. With Lighthaven, bring the cooler + ice, drinks, cups from storage → courtyard bar (+ Lighthaven's tall tables if they have them)
  2. Beer + white/rosé wine into the iced cooler (NA drinks stay in the Lighthaven fridges)
  3. Red wine, spirits, mixers, stirrers on the bar
  4. Cups + a Sharpie for name-marking; napkins
  5. Bottle opener + corkscrew tied to the bar
  6. Sign up: "Help yourself • 21+ only. Green lanyard = under 21 — no alcohol. Non-alcoholic drinks/mixers are in Lighthaven fridges"
  7. Backup drinks + spare ice behind the bar or in the basement; low stock → Whole Foods run by an on-call vol
  8. During: watch for green lanyards and overimbibing · After: leftovers to storage, drain cooler, wipe down

Annika checks stock Saturday morning and arranges any top-up. Exact time left to Annika. Current on-call volunteer can cover after a handoff.

Poster duty

Katherine on Saturday; Larissa on Sunday. Sessions: 5:30-6:30pm, Bayes Ground. Float during the session and help presenters as needed.

There are separate Saturday and Sunday sets, associated with Lightning I and II. Presenters choose any free gridwall slot and mount their own posters using the supplies caddy. Saturday's set can go up Friday 4-7pm or Saturday 8-8:55am. Sunday's set goes up Sunday 8-8:55am. Stop mounting at 8:55am, before the upstairs meditation (listed 9am; starts 9:05am).

At the end of each session, remind presenters to take their posters home that night. Put anything left behind with the tear-down items. Presenters mount their own posters; volunteer support is only scheduled during the poster sessions.

On call

You may attend sessions, but stay reachable and ready to help. Watch Signal and Waypoint chats, be visible around the venue, and message Signal at each handover.

Typical jobs: find a missing speaker, contact Lighthaven about AV, direct a lost attendee, help with signs or supplies, make an approved shopping run, or meet someone at the gate and help confirm admission through the Signal chat. When registration is not staffed, or the person has neither a badge nor a Luma ticket, notify the Signal chat and wait for someone from Eleos to confirm admission for anyone without a badge.

During meals, help attendees use the buffet efficiently and watch for shortages. Lighthaven handles routine clearing; help with small issues and report anything larger. If vegan food is running low, tell Annika or Rosie so they can arrange the backup.

Setup and tear-down

Lighthaven sets furniture; volunteers verify it and handle badges, signs, poster equipment and supplies. Check-in ready by 3pm.

Eneasz, Paul and Noah: early setup 12-1pm, orientation 1-2pm, setup resumes 2-4pm. No room signs or special meal labels to print. Spare check-in labels can be used for meals if needed.

Monday morning: Aaron, Annika and Eleos team pack remaining posters, gridwalls, swag, banners and signs in Aumann by front desk for transport to Constellation / Rosie's house.

DURING THE EVENT

Contacts & help

For an emergency, call 911. For event operations, contact Annika.

Emergency

For an emergency, call 911. Venue address: Lighthaven, 2740 Telegraph Avenue, Berkeley.

  1. Call the Lighthaven front desk: +1 510-726-0153. If you cannot reach them, call Lauren: +1 510-919-3501.
  2. Notify the Signal group, tagging Annika and Rosie.

Who handles what

Need Contact
Event operations, arrivals, deliveries, or an uncertain situation Annika
Shifts, cover, breaks, or swaps Signal chat
Venue, AV, first-aid supplies, or a bedroom problem Lighthaven front desk; tell Annika about wider issues
Difficult attendee Paul; involve Annika, Rosie, and Rob if serious or Paul is unavailable
Harassment or another serious attendee report Rosie and Rob; Annika can help make contact. Use judgment about sharing sensitive details.
Immediate danger 911 and venue/security support as appropriate

For routine issues, fix what you can and tell Signal what you did. If you are already covering a role, ask the on-call volunteer to handle the extra job. For a non-emergency medical need, ask what the person needs, contact the front desk for supplies, and arrange a store run through the on-call volunteer when needed.

Complaints and sensitive reports

Handling complaints

(operational issues — food, logistics):

  • "I'm sorry about the problem." Listen to their complaint, help them feel heard. You don't need to agree or disagree that this is actually a serious problem.
  • Don't promise a response. Don't mention specific changes that will be made either this year or next year, unless the problem is something that obviously can and should be remedied now. If you're not sure how we can respond to the problem, tell them you'll check with the organizers/staff to see what the plan is: "I want to be sure we're giving you the right information."
  • Capture the feedback: "There will be a feedback form emailed out to participants afterwards. Because things are so busy right now, I want to be sure we don't lose track of what you're telling me, so please do include it in the form." "Thank you for telling us about this. We do want to improve, we're glad to have feedback."
  • If the issue they have seems urgent/serious, or the person complaining is being persistent, feel free to escalate it directly to Rob and Rosie.

Also relay the feedback to the volunteer Signal group. Volunteers should use their judgment about the appropriate channel and sensitive details.

Serious attendee reports

(harassment, verbal abuse, unwanted social/sexual contact):

  • Express sympathy ("I'm really sorry that happened to you.")
  • Offer to put them in touch with Rosie and Rob. If they're unsure whether they want to talk to Rosie and Rob, it's probably best to encourage them to, if they are comfortable doing so. If the person doesn't want to talk to Rosie and Rob (maybe they feel it wasn't a big deal or they don't want to talk about it), still let them know what happened — though do ask the person whether they'd prefer to remain anonymous, or are happy with you sharing their details with us.
  • Don't promise a response (e.g. "We'll make the person leave") before Rosie and Rob have had a chance to investigate the situation.

Use your judgment about whether to share sensitive details privately or in the group; there is no blanket private-message rule. If unsafe, get security help. Paul handles difficult attendees; escalate serious issues to Annika, Rosie and Rob.

Practical questions

Starting or finishing? Message Signal. Need a break or to leave a shift? Post in the Signal chat and confirm cover before leaving. Missing a location or supply? Ask Signal or the front desk.

Bring a phone, a way to keep time, and a portable charger. Registration staff need a charged laptop and battery pack. Wear comfortable clothes, closed-toe shoes and socks, and bring layers. Some rooms are shoes-off. Wear your badge and on-duty lanyard.

Staff/volunteer bags and supplies go in the shed in front of Building A. Building F is Lightcone team workspace and is not available as a volunteer break room. If you have a task preference or need a shift change, post in the Signal chat in advance. Keep receipts for purchases; ask for an advance when fronting the cost would be a problem.

DURING THE EVENT

Financial-support enquiries go to ops@eleosai.org. Ticket proceeds support the event and Eleos, while meals are grant-funded and free to attendees. These details have not been checked against live registration.

DURING THE EVENT

Meals & dietary arrangements

Draft catering reference. Annika verifies both pre-arranged meals at every service.

Service responsibilities

All seven buffets in front gardens, Rat Park seating. ZeroCater sets up; Lighthaven clears; on-call volunteer helps attendees. Annika owns Adele and Jeff's meal arrangements, orders, deliveries, handoffs and backups; not marked confirmed.

Friday dinner 7-8pm, after the Rat Park table flip from 6:30-7pm. Saturday/Sunday breakfast 8:30am, lunch noon, dinner 6:30pm.

Lighthaven brews coffee; Gratified booked mornings only. Annika pings when coffee low. Vegan food low → Rosie/Annika for same-day vegan pizza backup.

Reported dietary needs

Adele Lopez: vegan, no soy. Jeff Sebo: vegan, no tomato, spice, or fried food. The plan calls for two pre-arranged meals at every service, checked by Annika. Annika owns orders, delivery, storage, handoff and backups; arrangements are not marked confirmed.

Other reported needs: gluten-free x7, including three people who do not eat meat; one report covering nuts/peas/chickpeas/jackfruit; one tree-nut allergy; one fava-bean restriction; and one restriction covering fresh apples, pears, peaches, nectarines, figs, and kiwis. Counts reflect the registration snapshot available when these arrangements were planned.

Separate meals were not planned for these attendees; menu and allergy checks remain incomplete. Treat suitability as awaiting confirmation, not verified. Sunday lunch is now Sima's Persian Delights; the caterer labels the stewed organic tofu vegan and gluten-free.

Menu rules and quantities

The recorded policy excludes poultry, eggs, pork, shellfish, and farmed fish. Beef, lamb, wild-caught fish, and dairy are allowed. The revised breakfasts replace egg-containing gluten-free bagels with gluten-free cinnamon rolls (contain dairy).

The September 3 Luma split was vegan 27%, vegetarian 25%, reducetarian 22% (counted as two-thirds meat), and meat-eating 26%. Scaled to 250, the planning target is about 102 meat and 148 plant portions per meal, with entrees at 9-10 oz per person.

Pre-arranged meal plan

Annika owns Adele and Jeff's meals at all seven services, including orders, deliveries, storage, handoffs and backups. Use spare check-in labels if needed; no special labels to print.

Breakfast menus now list gluten-free cinnamon rolls (contain dairy) instead of gluten-free bagels. Allergen cards expected as standard, not independently confirmed. The no-farmed-fish requirement has been given to caterers.

Annika handles Adele and Jeff's meals. Erin Armitage: sales/portions; Matt Capistrano: operations; Tamika: support. Final headcount/dietary sync September 15. Menu items, listed allergens and serving quantities updated from the September 13 PDFs.

Drinks planning assumptions

Shopping quantities cover Friday evening drinks and the weekend happy hours. Friday has evening bar drinks but no scheduled happy hour; Saturday/Sunday retain happy hours. Annika checks stock Saturday morning and arranges top-ups.

Previous event experience: red wine ran out, rosé went fast, white less popular, beer/spirits popular. NA soft drinks in venue fridges. $1,000-$1,300 is the earlier drinks estimate, not a checked quote. Planning estimate about 600 servings; roughly 510 alcoholic servings plus 96 NA beers under earlier pour assumptions. No serving instruction is implied.

Provided by Lighthaven
